Privacy Policy
Effective date: October 26, 2026
This Privacy Policy explains how Tabula LLC ("Tabula", "we", "us") collects, uses and shares information through the ELD Tabula mobile app for drivers (the "App") and the Tabula fleet portal (together, the "Services").
The Services are an electronic logging device (ELD) and hours-of-service (HOS) solution for commercial motor carriers in the United States. Driver accounts are created by the motor carrier (the driver's employer or the company the driver works with), which uses the Services to meet Federal Motor Carrier Safety Administration (FMCSA) requirements.
1. Information we collect
- Account and profile information. Name, email address or username, phone number, driver license number and issuing state, and company, driver and vehicle identifiers. This information is provided by your motor carrier through the fleet portal. You sign in to the App with the username and password issued by your carrier.
- Precise location, including in the background. While you are signed in, the App collects your device's GPS location, including when the App is closed or not in use. Federal ELD rules require location to be recorded with duty status changes and at regular intervals while the vehicle is driven. Location is sent to our servers about once a minute while a vehicle is assigned to you, and it is attached to your HOS events. Location collection stops when you sign out.
- Hours-of-service records. Duty status changes, driving time, log edits and annotations, log certifications (including your signature), unassigned driving events, violations, and shipping document numbers.
- Vehicle and engine data. When the App is connected to an ELD device (such as a PT30) over Bluetooth, it receives the vehicle identification number (VIN), odometer, engine hours, speed, engine state, ELD GPS position, diagnostic and malfunction events, and the ELD device serial number and firmware version.
- Vehicle inspection reports (DVIR). Inspection results, defects, notes and signatures.
- Messages and files. Messages you exchange with your carrier's dispatchers, and images or documents you choose to attach from your device. The App does not use the camera.
- Device information. Device model, operating system version, app version, battery level, Bluetooth, Wi-Fi and GPS status, a push notification token, an app installation identifier, and language settings.
- Diagnostics. Crash reports and app performance information (for example, app hangs). Before crash reports are sent, we remove names, email addresses, phone numbers, license numbers, location coordinates and access tokens, and we use a one-way hashed identifier instead of your driver ID.
We do not collect contacts, calendar data, microphone audio, health data or payment information through the App, and we do not use advertising identifiers.
2. How we use information
- To provide the Services: record and calculate hours of service, detect violations, produce driver logs, inspection reports and IFTA mileage by state, and sync data between the App and the fleet portal.
- To let your carrier manage its fleet and comply with FMCSA and other regulations, including showing your carrier your location, duty status and logs.
- To transfer records to authorized safety officials during a roadside inspection, when you start the transfer.
- To send you notifications from your carrier and about your account and logs.
- To keep the Services secure, diagnose problems and improve reliability.
We do not sell personal information, do not use it for advertising, and do not share it for cross-context behavioral advertising.
3. How we share information
- Your motor carrier. Your carrier's administrators and dispatchers can see the information described above for the drivers and vehicles of their company.
- Government authorities. ELD records are transferred to the FMCSA or to law enforcement during a roadside inspection when you choose to send them, and they may be disclosed when required by law.
- Service providers that process data on our behalf under contract:
- our hosting providers, which store Service data in the United States;
- Sentry (Functional Software, Inc.) for crash reporting;
- Google for push notifications (Firebase Cloud Messaging) and for converting coordinates into place names on Android devices;
- PacificTrack, the ELD hardware manufacturer, which receives device identifiers (serial number, IMEI, Bluetooth address), the VIN, odometer, diagnostic codes and phone model when the App checks for and installs ELD firmware updates.
- Business transfers. If Tabula is involved in a merger, acquisition or sale of assets, information may be transferred as part of that transaction.
4. Data retention
FMCSA rules require motor carriers to keep ELD records and supporting documents for at least six months. We keep Service data for as long as your carrier's account is active and as needed to meet these legal requirements, then delete or anonymize it. Some data is also stored on your device so the App can work offline. Sign-in credentials and profile data are removed from the device when you sign out.
5. Security
Data sent between the App, the fleet portal and our servers is encrypted in transit using HTTPS (TLS). Sign-in tokens are stored in the device's secure storage. Access to Service data is limited to authorized personnel. No system is completely secure, and we cannot guarantee absolute security.
6. Your choices and rights
- Permissions. You can turn off location, Bluetooth and notification permissions in your device settings. ELD functions that depend on them, such as recording driving time, will not work without them.
- Access, correction and deletion. Because driver accounts are managed by your carrier, please contact your carrier first. You can also write to us at info@tabulasystems.com to request access to, correction of, or deletion of your personal information. We will respond as required by applicable law, including state privacy laws such as the California Consumer Privacy Act. Records that a carrier is legally required to keep may be retained until the retention period ends.
7. Children
The Services are intended for commercial drivers and fleet personnel aged 18 or older. We do not knowingly collect information from children under 13.
8. Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated policy on this page and change the effective date above.
